This video shows how to build an invoice in Need for Service — from a blank page to a paid invoice. There are two ways to add services, and the video walks through both.
Starting a new invoice
From the main homepage, hit "New Invoice." The invoice page is where you build everything out. Search for the customer by name, select their vehicle, add any customer notes, and you're ready to start adding services. You can also send an SMS to the customer directly from this same screen.
Adding services manually
For a brake job, you type in the service name and search your items by description — brake rotors, brake pads, brake lines. When you select a part, the item code and cost fill in automatically from your articles. You can also type in a description and cost directly if you prefer. Labor lines are added the same way, just below the parts.
Using service kits
The faster option is service kits. Click "Service Kits," find your brake job kit, and it loads everything in — all the parts, item codes, descriptions, and costs in one shot. Then all you do is assign a technician and it's done. For jobs you do regularly, this is significantly faster than building the estimate line by line every time.
Approvals and work orders
Once the estimate is built, you can send it to the customer for approval. They get a link, they can see the full estimate, approve or decline, and sign it. Once approved, you convert the estimate to a work order. The work order shows up on the technician's app on their phone automatically — no need to print or hand anything over. You can convert back to an estimate if needed, but keeping it as a work order lets you track the estimate-to-work-order conversion rate in your reports.
Creating the invoice and collecting payment
When the job's done, hit "Create Invoice." Choose how the customer is paying — cash, card, or check — enter the vehicle mileage, and either print the invoice or send it to the customer's email. That's it. The whole flow from blank page to paid invoice is built to be as few clicks as possible.
Your schedule is always visible
One thing worth noting: your schedule stays visible while you're building any invoice. If a customer calls while you're mid-estimate, you can see your availability, create a new customer, and book an appointment without leaving the page.
